Oximy Shield is a Chrome extension that helps keep you and your organization safe while using AI tools. Once installed and synced, Shield works quietly in the background to protect sensitive information and ensure you’re following your organization’s AI usage policies.
Your IT administrator will assign you a role that determines which policies apply to you. Shield automatically enforces these policies without requiring any action on your part.

Extension Installation

Prerequisites

Before installing Shield, make sure you have:
  • Google Chrome browser (version 90 or later)
  • Work email address registered by your IT administrator
  • Dashboard access provided by your organization

Installation Steps

Follow these steps to install the Shield extension:
  1. Open the Chrome Web Store
    • Visit the Chrome Web Store
    • Search for “Oximy Shield” or use the link provided by your IT team
  2. Add to Chrome
    • Click Add to Chrome
    • Review the permissions requested
    • Click Add Extension to confirm
  3. Pin the Extension (Optional but recommended)
    • Click the puzzle icon in your Chrome toolbar
    • Find “Oximy Shield” in the list
    • Click the pin icon to keep it visible
Pinning the extension makes it easy to check your sync status and access settings quickly.

First-Time Setup

After installing the extension, you need to connect it to your organization’s Shield dashboard.

Step 1: Open the Extension

Click the Shield icon in your Chrome toolbar (or the extensions menu if you didn’t pin it).

Step 2: Log In to the Dashboard

  1. Click Sign In in the extension popup
  2. You’ll be directed to the Oximy Shield dashboard
  3. Enter your work email address
  4. Complete the authentication process (you may receive a verification email)
Use the same email address your IT administrator registered for you. If you have trouble logging in, contact your IT team.

Step 3: Sync the Extension

Once logged in:
  1. Return to the extension popup
  2. Click Sync Now
  3. Wait for the sync to complete (usually takes a few seconds)
  4. You’ll see a confirmation message when sync is successful
That’s it! Shield is now active and protecting you based on your assigned role and policies.

Verifying Connection

To verify Shield is working correctly:
  1. Click the Shield icon in your toolbar
  2. Check the status indicator:
    • Green - Connected and synced
    • Yellow - Connection issues (try syncing again)
    • Red - Not connected (log in again)
  3. You should see your name and role displayed

What Shield Monitors

Shield keeps an eye on:
  • Text inputs - Prompts and messages you send to AI tools
  • File uploads - Documents, images, and other files you share
  • Data patterns - Sensitive information like emails, phone numbers, and credentials
  • Platform usage - Which AI tools you’re using

Policy Enforcement

Your assigned role determines what policies apply to you. Shield may:
  • Warn you before you share sensitive information
  • Block actions that violate your organization’s policies
  • Sanitize data by removing sensitive details before sending
  • Log usage for compliance and security purposes

What You’ll See

When Shield detects something, you’ll see a notification:
Example Notification“This prompt contains 3 email addresses. Your organization’s policy blocks sharing personal information. Please remove the emails and try again.”
You can then:
  • Edit your prompt to remove the sensitive data
  • Cancel the action
  • Contact your IT team if you believe this is an error

Daily Usage

Working with AI Tools

Once Shield is set up, you can use AI tools normally:
  1. Navigate to any supported AI platform (ChatGPT, Claude, etc.)
  2. Use the platform as you normally would
  3. Shield monitors in the background
  4. You’ll only see notifications if a policy is triggered

Checking Your Status

To check if Shield is still synced:
  1. Click the Shield icon in your toolbar
  2. Verify the status is green
  3. Check that your role is displayed correctly

Manual Sync

Shield syncs automatically, but you can trigger a manual sync:
  1. Click the Shield icon
  2. Click Sync Now
  3. Wait for confirmation
Manual syncing is useful if:
  • Your role recently changed
  • You’ve been away from work for a while
  • You’re troubleshooting connection issues

Troubleshooting

Common Issues

Extension Not Syncing

If you see a yellow or red status:
  1. Check your internet connection
  2. Log out and log back in to the dashboard
  3. Click Sync Now in the extension
  4. Restart Chrome if the problem persists

Not Getting Policy Notifications

If you expect to see notifications but don’t:
  1. Verify Shield is installed and enabled
  2. Check that the extension status is green
  3. Make sure you’re on a supported AI platform
  4. Contact your IT team to verify your role assignment

Extension Keeps Logging Out

If you’re repeatedly asked to log in:
  1. Clear your browser cache and cookies
  2. Disable other security extensions temporarily
  3. Ensure your browser is up to date

Can’t Access a Specific AI Platform

If an AI platform is completely blocked:
  1. Check with your IT team - the platform may be disabled
  2. Verify you’re using the correct URL
  3. Try a different browser to confirm it’s Shield-related
  4. Request access if you need it for work

Reconnecting the Extension

If you need to reconnect Shield:
  1. Click the Shield icon
  2. Click Sign Out
  3. Click Sign In
  4. Complete the login process again
  5. Click Sync Now
Don’t uninstall and reinstall the extension unless instructed by your IT team. Simply reconnecting usually solves most issues.

What Data Shield Collects

Shield collects only what’s necessary for security:
  • Policy violations and warnings
  • Sanitized data patterns (not full content)
  • Platform usage statistics
  • Sync and connection logs

What Shield Doesn’t Collect

Shield respects your privacy:
  • Full prompt content - Only flagged patterns are logged
  • Personal browsing - Only AI platforms are monitored
  • Keystroke logging - Shield doesn’t record your typing
  • Screen content - No screenshots or screen recording
